Position Summary
The Safety Coordinator/Specialist plays a key role in supporting Golden Limousine Internationals commitment to safe operations, regulatory compliance, and professional service standards. This position is responsible for maintaining driver and vehicle safety records, auditing compliance documentation, supporting driver qualification and training processes, and assisting with the development of proactive safety initiatives.
As the role expands, this position will support maintenance recordkeeping and data organization to strengthen operational readiness and FMCSA compliance.
Core Responsibilities
Safety Compliance & Auditing
- Audit and edit driver Hours of Service (HOS) logs in Samsara to ensure accuracy and compliance.
- Monitor, manage, and report Unassigned HOS activity in Samsara, including completion of monthly compliance reporting.
- Maintain and track Camera ID Training Records in Samsara.
- Run weekly timecard and driver activity reports in When I Work (WIW) to identify ELD-exempt driver violations and compliance gaps.
- Support driver qualification workflows in BambooHR, including uploading, organizing, and validating documentation.
- Digitize and organize historical paper-based Driver Qualification (DQ) files into compliant electronic record systems.
- Enter and maintain Asset Qualification information within Samsara.
- Audit DQ files to ensure alignment with FMCSA requirements and internal compliance standards.
Expanded Responsibilities
Safety Program Development & Training
- Review and investigate safety events using Samsaras self-coaching module and related reporting tools.
- Escalate serious safety events and infractions for in-person coaching, corrective action, and disciplinary review, as appropriate.
- Support new hire onboarding through assignment and tracking of required safety training modules.
- Manage recurring training requirements including:
- Samsara Safety Modules
- OSHA Awareness / Compliance Topics
- FMCSA Safety Standards
- Maintain training documentation and ensure accurate tracking of completion via LMS or internal compliance systems.
Maintenance Data Management
- Serve as a data and documentation support resource for maintenance operations by scanning and organizing work orders, service documentation, and parts receipts into digital systems.
- Assist in the transition to future maintenance management tools through data entry, document cataloging, and record validation.
- Maintain vehicle qualification and inspection documentation in accordance with FMCSA and internal operational requirements.
