Fleet & Safety Coordinator

We are seeking an organized, detail-oriented Fleet & Safety Compliance Assistant to support our Fleet Administration and Health, Safety & Environmental (HSE) teams. This entry-level position is ideal for someone who enjoys working behind the scenes to ensure accuracy, compliance, and smooth operations. The successful candidate will help maintain safety documentation, fleet records, compliance information, and assist with property and vehicle damage claims.
Responsibilities
- Maintain up-to-date fleet and safety documentation, including vehicle registrations, inspection reports, maintenance logs, and safety certifications.
- Assist in tracking compliance requirements for DOT, OSHA, and internal fleet safety standards.
- Support the filing and follow-up of property and vehicle damage claims.
- Utilize GPS monitoring and fleet tracking software to monitor vehicle performance, utilization, and compliance.
- Assist with tracking parts, warranties, and billing through fleet software systems.
- Generate and organize reports for the Fleet Administrator, HSE team, and management.
- Communicate and collaborate closely with service writers, shop managers, Fleet VP, Operations VP, and the Safety team to ensure timely resolution of issues.
- Support audits, inspections, and investigations as needed.
- Help identify opportunities for continuous improvement in fleet and safety processes.
Requirements
- High school diploma or GED required; associate degree in business, logistics, or safety preferred.
- Strong organizational and recordkeeping skills with attention to detail.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook); experience with fleet management or GPS tracking software a plus.
- Excellent communication and teamwork skills.
- Ability to handle confidential and sensitive information responsibly.
- Willingness to learn and grow within the Fleet and Safety functions.
