- *Purpose**:
Required to provide administrative support to our Safety team and reception duties for Edmonton office.
- *Key Objectives**:
- Reception: _
- Greet clients, visitors, and guests. Determine the purpose of each person’s visit and direct or escort them to the appropriate boardroom
- Answering the switchboard in an appropriate and pleasant manner, screen and direct phone calls to staff
- Distribute faxes, incoming/outgoing mail (inclusive of postage and drop off); prepare all courier packages and ensure they are accurate and sent on time
- Ensure foyer, board rooms, meeting rooms and lunchrooms, coffee stations and kitchen areas (inclusive of all furniture and materials) remain clean, stocked with appropriate supplies, and always organized
- Manage inventory for all office supplies, kitchen supplies and janitorial supplies with approval from reporting manager when request for supplies is made
- Ensure storeroom of supplies is maintained and always cleaned
- Filing of all payable related documentation in an effective, accurate and timely manner
- Safety _
- Data entry of fleet and safety services
- Coordinate and schedule safety training, orientations, and certification renewals for staff
- Assist in updating and maintaining workplace health & safety policies and procedures.
- Maintain records of safety meetings, inspections, and incident investigations.
- Maintain Safety Data Sheet database.
- Complete safety orientations for new hires
- Distribute safety bulletins, alerts, and updates to staff
- Transport fleet vehicles for repairs and maintenance
- Experience in a construction/safety role would be an asset
- Other duties and responsibilities assigned
- *Skill Requirements**:
- Strong knowledge in Microsoft Office, namely Excel
- Ability to work on multiple projects at once
- Strong time management, organization, and planning skills
- Ability to work under pressure to meet stringent deadlines
- Strong attention to detail
