  • *Job Summary**

Reporting to the Manager, CEO & Future Focused Programs, the CEO & Future Focused Programs Coordinator is responsible for for the planning, developing, implementing and executing various Divisional programs and activities. This role will leverage existing networks and communication channels to engage customers, stakeholders and WSPS staff in support of the achievement of the organizational/divisional goals and objectives in alignment with the province-wide culture of health and safety. The incumbent performs with a high level of professionalism and integrity with respect to sensitive and confidential information, works under mínimal supervision, and observes excellent time management to meet the demands of multiple priorities of our division and stakeholders.

  • *Key Responsibilities**

Note: Percentages refer to approximate % of time spent on each area, over the course of a given year

  • *1. SUPPORT WSPS SAFETY CONNECTION/CEO LEADERSHIP NETWORK PROGRAM DELIVERABLES (40%)**
  • Works with the Program Manager and WSPS business units to support the implementation of the WSPS Safety Connection program strategy and deliverables.
  • Collaborates with internal WSPS departments - Marketing, Web Team, Field Operations and Corporate Services in the planning, development, coordination and logistics of the Safety Connection Events. E.g. create function numbers in CRM, liaise with Customer Care to create Event ID numbers.
  • Liaise with Field Operations to confirm speakers, topics and session descriptions, schedule prep/practice sessions and live webinars, etc.
  • Coordinate with internal and external guest speakers to ensure a smooth workflow.
  • Support the presentation/preparation process for the Safety Connections Events, host and participate in sessions as required.
  • Facilitate Safety Connection Reporting - Track attendees, registrations and prepare TPA quarterly reporting.
  • Recording of Safety Connection collaborate with IT and Digital teams to ensure proper editing and compliance of CASL legislation for all Safety Connection events to be posted on our wsps.ca website.
  • *2. CEO HELATH & SAFETY (H+S) LEADERSHIP NETWORK PROGRAM (20%)**
  • Support the overall execution of the CEO H+S Leadership Network Program strategy.
  • Logistical support for all in person and virtual events including, venue, catering, presentations, speakers, etc.
  • Maintain membership/attendee database and follow up as appropriate with prospective members.
  • Facilitate the new members registration process, including completion of registration forms, logos and website updates.
  • Coordination of the Canada Safest Employers Best Culture Awards Virtual Evaluation schedule for finalists and final reports dissemination, in collaboration with the WSPS evaluators.
  • Support the development of yearly CEO Network white papers process including, developing product schedule, review content, follow up with appropriate stakeholders, etc.
  • Support the coordination of blog posts on the CEO H+S Leadership Network Blog.
  • *3. OVERALL DEPARTMENT BUDGET MANAGEMENT (20%)**
  • Coordination of the Corporate Membership, Corporate Sponsorships, External Meeting Expenses (events), External Communications approved budgets in compliance with WSPS Financial policies, including:
  • PO Requests, invoice processing, coordinating approval process.
  • Updating and tracking of budget appropriately
  • Developing business cases and Waiver for review and approval of manager
  • *4. STAKEHOLDER ENGAGEMENT/PROGRAM SUPPORT (20%)**
  • Assist the Manager, CEO & Future Focused Programs in the planning, development, coordination, and logistics of a wide variety of Ad Hoc projects and Special Events.
  • AD hoc events tradeshow support (AGM, Skills Development, etc), liaise with Marketing Specialist to coordinate WSPS participation at external tradeshow/event locations virtually and in person.
  • Support Strategic Partnerships fulfilling MOU’s, partnership agreements and contractual commitments (i.e.: Minerva, Conference Board of Canada, Key Media).
  • Supporting knowledge transfer activities
  • Awards programs
  • Administrative support
  • Provide Departmental Meetings support, including invites, minutes, action items, booking of rooms CHSI/Offsite/MS Teams.
  • Online file management and tracking - managing of the Strategic Relationships collaboration site.
  • Facilitate the external speaking engagements process of entering into CRM for TPA reporting.
  • Development and maintenance of all department processes for knowledge transfer.
  • Provide back up support for the Advisory Committee Program as required.
  • *5. CONTRIBUTES TO A HEALTHY AND SAFE WORK ENVIRONMENT (at all times)**
