Job Summary

The Occupational Health, Safety and Wellness Administrative Assistant will provide support to the OHSW team and is responsible for ensuring OHSW programs run efficiently and effectively. This role is responsible for the overall efficiencies of the department including the Staff Wellness Centre. The incumbent will be responsible for the scheduling and coordination of all Occupational Health, Safety and Wellness training programs.

Reporting to the Manager of Occupational Health, Safety and Wellness, the administrative assistant will function with a high degree of organization, attention to detail and effective prioritization while working in a dynamic team setting.

Skills & Abilities

  • Relevant junior entry level experience in office administration
  • Proficiency and literacy with computer skills, including knowledge and use of Microsoft Office Suite.
  • Excellent written and verbal communication skills.
  • Excellent organization and time management skills with an ability to effectively manage complex tasks simultaneously.
  • Proficient minute taker with an ability to prepare high quality concise minutes.
  • Professional and customer service oriented with an ability to work with individuals across all levels of the organization.
  • Self-directed, detail oriented, dependable and resourceful.
  • Ability to perform the essential duties of the job.

Primary Responsibilities

  • To regularly discuss with the Health & Safety Manager, current priorities in order to ensure the efficient and smooth administration of the health & safety team.
  • Completes a variety of confidential and time sensitive administrative duties which includes the maintenance of Parklane Systems, data entry, updating spreadsheets and scheduling.
  • Supports the onboarding of new staff in the Department including the arranging for the required resources, logins and equipment.
  • Performs various general office duties including but not limited to processing staff medical receipts to Plexxus for reimbursement, scanning documents to the appropriate file, ordering supplies and utilize Microsoft Bookings to support a variety of programs within the department and their needs. (i.e. N95 program)
  • Performs other duties as assigned.
