About the position...
The Fleet & Safety Coordinator will be responsible for overseeing and managing the company’s fleet, equipment, and safety programs to support efficient, compliant, and safe operations. This role oversees vehicle and equipment utilization, maintenance, inspections, and documentation while ensuring adherence to state regulations and company policies. By serving as a key point of coordination between field/property teams, managers, and employees, this role helps promote a strong culture of asset management and safety across the organization.
- Ensure all vehicles are registered under the appropriate Pennsylvania Department of Transportation (PennDOT) fleet-registration system when applicable.
- Maintain accurate and compliant records — registrations, titles, maintenance history, inspection records, insurance, warranties, and lifecycle data.
- Ensure Monthly and Quarterly vehicle checks are being completed, and reports/photos are being documented and shared with managers/executive leadership as needed.
- Manage driver compliance and qualification files including, but not limited to licenses, certifications, driving records, and commercial motor vehicle standards to meet required regulations.
- Analyze fleet performance - track fleet utilization, maintenance costs, fuel consumption, downtime, lifecycle replacement needs — participates in team determining replacement or retirement of vehicles when appropriate.
- Manages assignment and re-assignment of vehicles as needed, ensuring all preventative/routine maintenance is being completed.
- Develop, document, and enforce fleet policies and procedures including, but not limited to vehicle assignment, usage, maintenance schedule, safety standards, inspection protocols, recordkeeping and regulatory compliance.
- Assist with the coordination of Wex Gas Cards and monitor the distribution, tracking, and replacement of EZ-Pass transponders in any assigned company vehicles.
- Participates in reviewing policies and processes with new employees who are using company vehicles and equipment.
- Assist with equipment management for both Work in Progress and Site Departments.
- Supports the General Superintendent and Site Project Manager by coordinating tool and trailer (open & enclosed) inventory management and preparing monthly and quarterly compliance reports to ensure accurate tracking and adherence to company standards.
- Serves as an active member of the Company Safety Committee by leading incident and accident documentation processes, assisting with training coordination, and overseeing administrative support for monthly meetings.
- Manage OSHA compliance documentation and safety programs by maintaining required recordkeeping (e.g., OSHA 300 logs), ensuring current and accessible SDS files across job sites, and supporting the implementation, training, and ongoing use of Near Miss and Job Safety Analysis (JSA) reporting.
- Coordinate with Foreman and Superintendents to ensure proper site PPE is available and in compliance (e.g., fire extinguishers, eye wash stations, first aid kits, diesel exhaust fluid, etc.)
What we are looking for from you...
- Must have a valid Driver's License, automobile insurance, and reliable transportation
- 3+ years' experience in fleet management and/or equipment coordination
- Bachelor’s Degree in Business Administration, Business Management, a related field (or equivalent combination of experience) is required
- Strong understanding of DOT and state-specific fleet compliance requirements
- Basic understanding of core safety principles and general workplace safety standards - experience with OSHA regulations is a plus
- Must be proficient in Adobe Acrobat and Microsoft Office programs, including but not limited to Word, Excel, Teams, Outlook, SharePoint
- Proficiency in fleet or equipment tracking systems, maintenance software, or fleet management tools is highly preferred
- Ability to read and maintain logs, inspection reports, and asset documentation with high accuracy
- Self starter with the ability to take initiative to create tracking and process improvement with fleet and safety needs
- Strong communication skills for collaborating with field teams, mechanics, vendors, and leadership
- Ability to apply time management skills and manage multiple requests at one time
